Email List

What is an Email List?

An email list is the set of email addresses a business has permission to send emails to, usually people who signed up on its website, bought something or asked to receive news and offers. It is one of the few marketing channels a business fully owns.

How to build an email list

  • Offer something useful in return, such as a guide, a checklist, a discount or a newsletter worth reading.
  • Place sign-up forms where people are engaged: in articles, at checkout and on key pages.
  • Ask customers for permission to send updates when they buy.
  • Promote your newsletter on social media and at events.

Rules to follow

  • Get clear consent: in the EU, the GDPR and ePrivacy rules require it for marketing emails, with limited exceptions for existing customers.
  • Never buy lists: bought addresses break the rules, bounce and damage your sender reputation.
  • Use double opt-in: a confirmation email proves the address is real and that its owner agreed.
  • Make it easy to unsubscribe in every email.

Keeping the list healthy

Remove addresses that bounce, and re-engage or remove people who haven’t opened or clicked for a long time. Segment the list by interest or behavior, so each person gets emails that matter to them.

Email list example

A garden shop adds a sign-up box in its blog posts that says “Get the monthly planting calendar for your area”. People choose their region when they sign up. Each month, the shop sends a short email with tasks for that region and a link to related products. Because the list is small and relevant, open and click rates stay high, and the shop owns the list, whatever happens to social media.

Email list hygiene checklist

  1. Use a confirmation email to check that addresses are real and that the person agreed.
  2. Store when and how each person agreed.
  3. Remove hard bounces straight away.
  4. Every few months, send a re-engagement email to inactive subscribers and remove those who never respond.
  5. Include an unsubscribe link in every email and honour requests promptly.

Email list mistakes

  • Buying or renting lists of people who never agreed.
  • Adding customers to marketing emails without permission.
  • Keeping inactive addresses forever, which lowers deliverability.
  • Not saying what subscribers will receive and how often.

Email list FAQs

How big should my list be?

Quality matters more than size. A small list of engaged people can outperform a large, cold one. See list segmentation and email marketing.

Do I need a double opt-in?

It is not required everywhere, but it gives cleaner lists. Check the law in your market. See lead nurturing and welcome emails.
